Volunteer Job Descriptions

Volunteer Roles: We need more than 50 volunteers for Home Meets, and more than 30 for Away Meets. With approximately 20-25 families in attendance at each meet, we will often need 2 volunteers from each family and some of those will need to fill multiple lots. All adults should plan to attend the Meets, and all in attendance should check in as a volunteer.  Please sign up early for EACH meet.


Group A: Coordinators (3 jobs)

  • Meet Manager: (Full Meet) The main point of contact for the Coach, Opponent, and Referee. Coordinates the meet details in the days leading up to the meet and the event itself.
  • Volunteer Coordinator: (Full Meet) Uses the Website and Volunteer signup sheet in the days leading up to the event to determine areas of need. Insures supplies and equipment are ready prior to the event. Checks in volunteers for both shifts.
  • Deck Manager: (2 Shifts) Located behind starting blocks, insures that swimmers are lined up in the correct order in the correct lanes prior to their event.

Group B: Clubhouse (3 jobs x 2 Shifts = 6 jobs, 4 for Away Meets)

  • Computer Captain: (Home Meets) Sets up the upper Clubhouse area for the computer/printer, Ribbon Workers, and Announcer.  Assists the Coaches and Reps with printing heat sheets, etc., and clipboards.
  • Computer Operator: (2 Shifts) Assists Head Coach in producing Heat Sheets, Timer and Judge recording sheets, Bullpen Rosters, etc., prior to the start of the event. Records event times and placements in coordination with a volunteer from another team. Prints Ribbon labels.
  • Ribbon Coordinator: (2nd Shift) Affixes printed labels to the correct colored ribbons in the second half of the meet.
  • Announcer (Home Meet Only): (2 Shifts) Uses PA system to announce current and upcoming events and event announcements.

Group C: Judges and Recorders (3 jobs x 2 Shifts = 6 jobs)

  • Place Judge: (2 shifts) Each team provides a place judge to determine the order of finish in each event.
  • Judges Recorder (Home Meets Only): (2 Shifts) Records the results as determined by the place judges. (Has no input into results)
  • Master Recorder/Runner: (2 Shifts) Collects the Judges sheets and timing results and delivers to Computer Operators.

Group D: Timers and Recorders: Home Meets lanes 1, 3, 5. Away Meets lanes 2, 4. Home = 6 Jobs, Away = 4 jobs)

  • Timer Captains: One Lane Timer is designated as the Captain.  First Half Captain distributes clipboards and stopwatches at the Referee's meeting (approx) 5:15. The Second Half Captain, insures all timers don't leave until all times are retrieved by the Master Recorder and collects clipboards and stopwatches. 
  • Timers: (2 shifts) Uses a stopwatch or other timing device to record swimmer times.
  • Timer Recorder: (2 shifts) paired with a timer to record times

Group E: Concessions: (Home Meets only, 10 jobs)

  • Concession Coordinators (Season): (2 Jobs) determines menu, purchases supplies, manages cash box.
  • Food Preparers: (3 jobs) In the week leading up to Home Meets, buy and prepare food for the Meet as assigned.  Expenses are reimbursed.  This job counts as a volunteer slot for the Meet.
  • Concession Helpers: (5 jobs, full Meet) serves concessions, assists customers

Group F: Bullpen (15 jobs)

  • Bullpen Coordinator: (Full Meet) Works with the Bullpen Parents and Deck Manager to get swimmers lined up in their correct lanes, correct order, and correct time prior to their event.
  • Bullpen Parents: (Full Meet)
    • 6 & Under Boys (x2) 6 & Under Girls (x2)
    • 7-8 Boys (x2) 7-8 Girls (x2)
    • 9-10 Boys (x2) 9-10 Girls (x2)
    • 11-12 Boys (1) 11-12 Girls (1)

Group G:  Late Arrivals, Unsure Attendance, and Substitutes:

If you are arriving late, unsure of your attendance, or if the volunteer signup is full, we still need to know you're coming and therefore available to help.  Please sign up for this role if you fall in any of those categories.


Post Event

All-hands are needed to help after the meet to fold tents, empty trash cans, pick up trash, move furniture, etc.
