HH Hurricanes - Week 3 Update

Hi HH Swim Families! One more week of 'May Madness' or 'Maycember' - hang in there! There are a few actions for you to complete this week - please read this entire message for all the details.

  • By Wednesday, May 22: Sign up to volunteer or donate items for the lemonade stand
  • By Friday, May 24: Indicate if your swimmer will participate in the first meet on 5/30 
  • By Friday, May 24: Volunteer for a parent job during the first meet on 5/30

*Please note: If your swimmer is registered as a tadpole/non-compete, only the first action applies to you.

Here's what you need to know this week:

PRACTICE SCHEDULE THIS WEEK - Monday through WEDNESDAY. No practice on Thursday, May 23rd due to end of school activities at Hampton Hall.

  • 5:00-5:45 PM 7-10 Year Olds
  • 5:45-6:15 PM 6 & under (tadpoles)
  • 6:15-7:00 PM 11+ Year Olds

Please notes, there is also no practice on Monday, May 27th due to Memorial Day.

The lemonade stand is on Monday, May 27th from 3:00-5:00 PM in the grass area in front of the Hampton Hall clubhouse. This is a team tradition to fundraise for concession stand purchases needed for the first home meet. We need swimmers and parents to help with the stand during those hours as well as donations to sell. Even if you are out of town for the holiday weekend, please review the items needed and sign up to help. Thanks!

Meet entry is open for our first meet on Thursday, May 30th. By Friday, indicate if your swimmer will participate in the first meet. To do this, go to the website home page and you will see a green button that says 'Meet Entry' on the righthand side under 'Next Meet'; select the 'Edit' button and then the appropriate option from the drop-down menu under each of your swimmers' names; click save. Your child will not be selected for races during the meet unless you indicate they will be participating. Please update the status for each of your swimmers by Friday, May 24th. 

Parent Job Signup is also open for our first meet on Thursday, May 30th. By Friday, sign up for a parent job. It is a home meet and that means we need everyone's help to fill all the jobs as the hosting team. We all cover for each other so you can see your child swim when you're volunteering. Here are descriptions of all the jobs:

  • Deck Manager - (two shifts) Located behind the starting blocks, this person ensures that swimmers are lined up in the correct lanes and correct order for upcoming events; this job has a great view of the races and is easiest for someone that knows most of the swimmers.
  • Computer Operator - (one shift) Works with volunteer from opponent's team to manage the data entry and recording of event results and times; this is good for someone that is comfortable entering numbers into a website; also one of the few jobs where you can sit
  • Ribbon Coordinator - (one shift) Applies pre-printed labels to the correct colored ribbons for all events and swimmers. This can be started during the meet but will likely need to be finished at home after the meet on Thursday evenings. Ribbons must be returned to the HH Clubhouse before the start of Fun Friday swim at 10 AM the next morning so they can be distributed to swimmers.
  • Place Judge - (two shifts) Each team provides a Place Judge to determine the order of finish for each race. Place Judges record the order of finish for each event (i.e. lane 2 finished first, lane 1 finished second, etc.). This is another job where you sit and have a great view of all the races.
  • Master Recorder/Runner - (two shifts) Collects the event results from the place judges and the times from the timers' recorders and gives to the Computer Operators. Another one with a good view of the races!
  • Timers - (2 or more lanes, two shifts) Start a stopwatch at the ref's whistle and stop the stopwatch when the swimmer completes the race. On your feet for a little while and your shoes might get a little wet but can't get any closer to the action!
  • Time Recorder - (2 or more lanes, two shifts) Stand near the Timer for your assigned lane and write down on printed forms the time recorded on the stopwatch for the event. Also on your feet but right in the action!
  • Bullpen Parent - (one shift by age group) Help swimmers in a specific age group get to their events on time and supervise swimmers when they are not racing. Great for a parent with a child in the age group to be nearby and enjoy the meet with the kids!

If this is all new to you or you want to try a new job this season, Jennifer and I will be going over each job in more detail during all practices on Monday (5/20) and Tuesday (5/21) this week. Please attend during your child's swim practice and we will help find the best job for you. If you have special circumstances and are unable to volunteer during the meet, please come talk to us or reply to this email.

We know this might feel a little overwhelming - we felt that way in the beginning too! We are here to help and will answer any questions you have - don't be shy! I'll send more information about the meet (e.g. address, timing, things to bring, etc.) next week.

Remember, if your swimmer is registered as a tadpole/non-compete, you only need to sign up for the lemonade stand.
